How Much Does Custom Software Cost? Use Our Free Estimator

Get a ballpark estimate for your custom development project in under 2 minutes. Select features, set complexity, and compare engagement models.

The hardest question in software

Every conversation about custom software starts with the same question: how much will it cost? And the answer is always the same: it depends. That's not a cop-out — it's genuinely true. A login system can cost $1,500 or $15,000 depending on whether you need basic email auth or enterprise SSO with multi-factor authentication and compliance logging.

The problem is that 'it depends' doesn't help you plan a budget, pitch to investors, or decide whether to build or buy. You need a number — even a rough one — to make decisions. That's why we built the Project Cost Estimator.

What the estimator does

The estimator walks you through three steps. First, you select the features your project needs — authentication, payments, admin dashboards, API development, compliance, and more. Each feature has a cost range based on real project data.

Second, you set project parameters: complexity level, design requirements, and timeline urgency. These act as multipliers that adjust the estimate up or down. A simple project with basic design costs less than a complex enterprise build with premium UI.

Third, you get your results: a cost range, a timeline estimate, and a side-by-side comparison of project-based pricing versus our retainer model. You can download the estimate as a text file to share with your team.

How the estimates work

The numbers aren't pulled from thin air. They're based on real Popeki project pricing, calibrated against our published engagement tiers. Each feature has a minimum and maximum cost that reflects the range we've seen across dozens of client projects.

Multipliers for complexity, design, and timeline adjust the base costs. Enterprise complexity at 1.6x reflects the additional architecture, security, and testing required. Rush timeline at 1.4x reflects the premium for pulling in extra resources to deliver faster.

Retainer vs project: which model fits?

The estimator doesn't just give you a project cost — it also maps your estimate to our retainer tiers. Some projects are better suited to a fixed-scope engagement with milestone payments. Others benefit from ongoing retainer capacity where you can adjust priorities month to month.

The tool shows you both options side by side so you can evaluate which model makes more sense for your situation. Neither is universally better — it depends on how well-defined your requirements are and whether you need ongoing development after launch.

What the estimate won't tell you

This is a ballpark, not a binding quote. Real project costs depend on nuances that a calculator can't capture: how your features interact with each other, what third-party APIs you need to integrate with, your existing technical infrastructure, and the specific business logic unique to your domain.

That's what a discovery call is for. We dig into the details, identify technical risks, and produce a detailed proposal with a precise timeline. The estimator gets you in the right ballpark so that conversation starts from a shared understanding.
